ICP Smart Services UAE: ICA Smart Services Visa Status Check and File Validity

ICA smart services UAE visa status check, in one line: open the file validity service on icp.gov.ae or the UAEICP app, enter your passport details or unified number, and the portal returns your residence or visit file’s status. It is free, needs no login, and ICA and ICP are the same authority — though Dubai-issued visas check on gdrfad.gov.ae instead.

ICP smart services is the digital front door of the Federal Authority for Identity, Citizenship, Customs & Port Security — the body that used to be called ICA, which is why “ICA smart services” remains what most people type. On icp.gov.ae and the UAEICP mobile app you can check a visa or residence file’s validity, track an entry permit, follow an Emirates ID application and look up immigration fines — all free, and for the basic inquiries, without creating an account. The one structural thing to know before any of it makes sense: ICP handles the visa files of every emirate except Dubai, whose residence visas live with GDRFA Dubai. This guide, updated July 2026, maps the portal’s services, the uaeentry channels, the ICA-to-ICP naming tangle, and the employer workflows that quietly depend on all of it.

ICA, ICP, IPC: one authority, three names people search

The Federal Authority for Identity and Citizenship (ICA) was the UAE’s federal identity and immigration body for years — long enough for “ica smart service abu dhabi” to become the standard way residents searched for its tools. In 2022 the authority absorbed customs and port-security functions and was renamed the Federal Authority for Identity, Citizenship, Customs & Port Security — ICP. Same visa files, same Emirates ID system, wider mandate, new domain: icp.gov.ae, with the legacy ica.gov.ae addresses forwarding into it.

“IPC uae” is simply the transposed spelling — no such authority exists, and the search lands in the same place. The naming history matters for one practical reason: guides, bookmarks and typing-centre advice still reference ICA addresses, and knowing they forward to ICP saves you from assuming a link is fake when it is merely old.

There is a third name in circulation, older still. Plenty of HR templates, employment contracts and government-form footers refer to the Emirates Identity Authority — the body that ran the Emirates ID card before the federal identity and residency functions were consolidated. If a document you are holding says Emirates Identity Authority, it means what is now ICP. So does “ICA department UAE”, and so does the bare “www ica” that people still type from memory. One authority, four ways of naming it, and every one of them ends at the same portal.

”ICA approval”, Amer centres and the other names that misdirect people

Two more phrases deserve their own explanation, because both send large numbers of people to the wrong counter.

ICA approval. This term entered everyday use during the period of pandemic travel controls, when residents returning to the UAE needed an entry approval from the authority in addition to a valid visa. The requirement has changed as those controls were unwound, and this is exactly the corner of UAE immigration where outdated advice survives longest — forwarded WhatsApp links, old blog posts, a colleague’s memory of 2021. Do not take anyone’s word for the current position, including a three-year-old article.

Check the entry requirements that apply to your nationality and residence status on icp.gov.ae, or GDRFA Dubai’s channels for a Dubai file, before you book. What has not changed is the underlying logic: your right to enter rests on a valid residence file or a valid entry permit, and both of those you can verify yourself, free, on the official channels described above.

Amer centres. Amer is the service-centre network through which GDRFA Dubai delivers residency and immigration transactions — which is why “Amer centre near me” is one of the highest-volume immigration searches in the country and why so many people arrive at it expecting ICP services. It is the Dubai channel. If your visa file sits in Abu Dhabi, Sharjah or the northern emirates, an Amer centre is not your route; ICP’s own channels and customer happiness centres are. And if what you actually need is a labour transaction rather than an immigration one — a contract, a work permit, a labour card — that is Tasheel, which serves MOHRE, not either immigration authority. Three networks, three mandates, one very confused search results page.

The related question people ask is whether there is an ICP presence in Dubai at all — the searches phrased as “ICP Dubai” or “ICA smart services Dubai”. There is, in the sense that Emirates ID is federal and ICP administers it for every resident of every emirate, Dubai included. What ICP does not hold is the Dubai residence visa file itself. So an ICA smart services Dubai search splits cleanly in two: the visa side goes to GDRFA Dubai, and the card side stays with ICP. The QR code on an ICA approval, and what it is worth

A related search worth answering plainly: people look for an “ICA approval QR code”, usually because an entry approval, permit or ICP-issued document arrived as a PDF with a code printed on it and someone downstream wants it verified. A QR code on a government document is a convenience, not the proof itself — it encodes a pointer, and a scan on an unofficial reader tells you nothing about whether the underlying file is live today.

The verification that actually settles the question is the free file validity or entry permit check on icp.gov.ae, described above, or GDRFA Dubai’s equivalent for a Dubai file. Those query the authority’s own record and return today’s status. We could not find ICP publishing a standalone public QR-verification page for entry approvals as at 6 August 2026, so treat any third-party site offering one as unverified rather than official.

ICA smart services login and registration: when you need an account

Half the frustration around ICA smart services registration comes from not knowing that the portal has two tiers. The inquiry services this guide has covered — file validity, visa status, entry permit checks, Emirates ID card status — run without any account at all. Registration and login only become necessary once you want to transact: apply, pay, amend, or see a history of your own requests.

The address matters, because this is a phishing-heavy corner of the internet. ICP’s own establishment services documentation links to smartservices.icp.gov.ae, with the login path at /echannels/web/client/default.html#/login, and ICP runs a complaints and enquiries platform separately at cc.icp.gov.ae. ICP also operates a newer portal on a beta.smartservices.icp.gov.ae subdomain, which is why a search for “beta smart” lands where it does — it is the authority’s own environment, not a mirror.

Two practical rules. First, on mobile the UAEICP app with UAE Pass is the shorter route than any login page — UAE Pass is the national digital identity, so there is no separate password to lose. Second, never enter a passport number on a page you reached from a forwarded link. Type icp.gov.ae yourself and navigate from there; the enquiry is free everywhere, so a site charging for it has already told you what it is.

E-channel in the UAE: the establishment side of ICP smart services

“E-channel” is the term UAE employers, PROs and free-zone consultants still use for the establishment-facing immigration portal, and it has not disappeared — ICP’s own establishment services documentation points at a login path under /echannels/ on smartservices.icp.gov.ae. So an e-channel UAE search and an ICP smart services search are converging on the same place from two different vocabularies, the older one belonging to the era when establishment immigration transactions were split across separate systems.

The registration underneath it is the establishment card — the electronic record ICP describes as holding the registered establishment data: trade name, licence number, partners and type of activity. Without a live establishment card, a company outside Dubai cannot file entry permits or residence applications for its staff, which is why an expired card stalls hiring rather than merely inconveniencing it.

The documents ICP lists include the trade licence, a signature authorisation letter, and the memorandum of association where the company has partners, with additional local-authority requirements depending on the emirate. Two of those catch people out. The signature authorisation letter decides who may actually submit anything on the file, so a company that registers the card in a departing employee’s name inherits a problem later. And the emirate-level requirement is a reminder that the establishment file is federal in system but local in paperwork.

Dubai is the exception to all of it, as everywhere else in this guide: a Dubai-sponsored workforce runs its establishment immigration through GDRFA Dubai and the Amer network rather than through ICP’s establishment portal. A group with entities in Dubai and elsewhere maintains both, and the renewal dates rarely line up.

The ICP–GDRFA split: which authority owns your file

Two things fall out of the table. First, Emirates ID is federal even for Dubai residents — the card always tracks through ICP, as we walk through in the Emirates ID status check guide. Second, a company with staff sponsored in more than one emirate is necessarily running two immigration relationships, and its expiry-tracking process has to check both.

ICA smart services UAE visa status check: the exact steps

1. Go to icp.gov.ae and open the file validity or visa status inquiry, or the same service in the UAEICP app. No account is needed for the inquiry itself.
2. Choose your search key. Passport number plus nationality works for everyone; the unified number (UID) printed on a residence visa is the more precise key if you have it to hand.
3. Enter the details exactly as they appear on the document. A passport renewed part-way through the file’s life is the single most common reason a perfectly valid visa returns nothing.
4. Read what comes back: the file type, its current status — valid, expired or cancelled — and the expiry date.

A worked example of why the date matters. An employee sponsored in Sharjah whose residence expires on 30 September shows as valid on the ICP file validity check right up to that date; from 1 October the same lookup returns an expired file and the overstay meter starts running against the individual. Nothing about the portal changes — only the answer does. That is the argument for checking a list of expiry dates once a month rather than checking one file when an employee rings up worried.

The same lookup is what people are after when they search for an ICA smart service file validity check, an ICP smart services visa check, or an ICA smart services UAE entry query: one service, several names for it. What it will not answer is a Dubai residence visa. That file sits with GDRFA Dubai, and the equivalent check runs on gdrfad.gov.ae.

What you can actually do on ICP smart services

The portal’s catalogue is long, but the services that carry nearly all the traffic:

File validity / visa status inquiry. Enter passport details or the unified number (UID) printed on the residence visa and get the current status of a residence or visit file — valid, expired, cancelled — with its expiry date. Free, no login. This is the tool people are looking for when they search ICA file validity or an ICA smart services visa validity check, and running it by passport number is the normal way to use it when the UID is not to hand. This is the official answer to every “check UAE visa status online free” search, and the reason paid third-party “visa info” sites have no legitimate role: they resell a lookup the government gives away.

Entry permits and the uaeentry channels. Electronic entry permits and e-visas for ICP emirates — including the dependant entry permits that open a UAE family visa application — are issued and verified through ICP’s uaeentry service pages — the official home of the uaeentry.ica.gov.ae address that circulates in forwarded messages. Validity checks are free; anyone asking for payment to “verify your entry permit” is a red flag, not a shortcut. Emirates ID services. Application, renewal, replacement and the Card Status tracker. Fines inquiry and payment. Immigration-file fines — overstay being the big one — checked and settled per file. ICP publishes the overstay figure on its own service page for issuing a residence permit, under “Service fines”: “Expiry of the permitted stay period for the visa holder, or expiration of the entry visa (per day) — 50 AED” (icp.gov.ae, read 5 August 2026). What ICP publishes about timing and cost

Most of the anxiety around these services comes from not knowing how long something takes or what it should cost, and most of the bad answers online come from people guessing. ICP publishes both on each service page. Everything below is read off icp.gov.ae itself on 5 August 2026.

Two things are worth saying plainly about that table, because both get misreported. First, the same five-day standard is published for all three services — issuance, renewal and replacement. If you have read that renewal is faster or replacement is slower, that was somebody’s experience, not ICP’s published standard. Second, ICP prices the urgent service at AED 150 but attaches no turnaround figure to it. There is no published 24-hour or express duration on any of those three pages. What the pages do say is a logistics difference rather than a timing promise: the standard service delivers the card through the authorised courier, while the urgent service is collected from the Authority’s centres.

So if a typing centre or a PRO quotes you a same-day Emirates ID, treat it as their operational claim rather than an ICP commitment. The only things ICP has committed to in writing are five days, and AED 150 to use the counter route.

These are the UAE-citizen categories shown on the ICP service pages; the resident category is priced per year of residence and sits behind a separate tab on the same pages, so check your own category rather than assuming these figures apply. The residence permit service page publishes its own separate lines — an application fee of AED 100, an issuance fee of AED 100 per year of the permit, and a smart service fee of AED 100.

The AED 20-a-day data-update fine is the one nobody expects, and it is the reason a change of address, phone number or — most often — a renewed passport should be pushed through the portal within thirty days rather than at the next renewal. It is small daily and unpleasant cumulatively: left for a year it reaches the AED 1,000 cap, for a transaction that takes minutes.

One more published rule employers should hold onto: on the residence permit service page ICP states that the foreigner’s stay “does not exceed sixty (60) days from the date of entry for the purpose of completing the residence issuance procedures”, and that overstay fines apply to the applicant if the permit is not finalised inside that window. That sixty-day clock is what quietly turns a slow onboarding into a fine on a new hire.

The UAEICP app

The UAEICP app (iOS and Android) mirrors the portal with a mobile-first profile: UAE Pass login, a documents wallet holding digital versions of the Emirates ID and residency details, service applications, fee payments and push notifications on file changes. For residents whose files sit with ICP it is worth the home-screen slot; for Dubai-visa holders its daily value is thinner — their residence file lives in the GDRFA app — but Emirates ID tracking alone justifies the install, since the card is federal.

A word on lookalikes: the app stores contain a persistent crop of unofficial “UAE visa check” apps wrapped around scraped or fake lookups. The official publisher is the authority itself. The same discipline applies as with websites — if it is not gov.ae or the authority’s verified store listing, your passport number does not belong in it.

The employer view: establishment files and expiry discipline

For companies, ICP is not an occasional lookup — it is one half of the machinery that keeps a workforce legal (MOHRE being the other, as covered in our MOHRE employer guide). A company sponsoring staff outside Dubai holds an establishment immigration file with ICP; every entry permit, residence stamping and renewal for those employees runs against it, either directly through the portal or via a registered PRO.

The failure mode is always the same: nobody owns expiry dates. A residence visa that lapses quietly triggers overstay fines against the employee, blocks the establishment file, and can stall unrelated applications for the company — all for want of a monthly report. The discipline that works is unglamorous: a tracker with every employee’s visa, passport and Emirates ID expiry, checked monthly, with renewals launched 60 days out. Companies that hire steadily usually delegate the portal work to a PRO and keep the tracker in-house; the point is that someone is looking.

No UAE company ever got into visa trouble because the portal was hard to use. They got there because for eleven months, checking it was nobody’s job.

Common problems and their boring causes

“No record found” on a valid visa. Wrong authority — a Dubai visa searched on ICP, or vice versa. Check where the visa was issued and switch portals.

Entry permit approved but not showing. The uaeentry lookup keys off exact passport details; a renewed passport or a transposed digit is the usual culprit.

Fines appearing on a cancelled file. Overstay fines crystallise at cancellation or exit if the timeline slipped; they must be settled before a new permit will issue — details in our guide to how to run a UAE fine check online.

Establishment application frozen. Almost always an upstream dependency: an expired trade licence, an unsettled fine on the file, or a missing attested document — the sequencing problem we describe in the MOFA attestation guide.

Updating a new passport on your ICA file

This is the single most common cause of an inquiry returning nothing, and it is also the one with a fine attached, so it deserves its own answer. When a passport is renewed, the number printed on your residence file no longer matches the document in your hand. Two things follow. The lookup tools key off exact passport details, so a file validity or entry permit check run on the new passport can come back empty even though the visa is perfectly valid. And ICP’s own service pages publish a fine for late reporting: AED 20 for each day of delay beyond thirty days from the change, capped at AED 1,000.

The route is the Data Update service on icp.gov.ae or in the UAEICP app, which ICP describes as updating non-essential data — phone number, email and address — with the passport change handled through the identity card services and your residence file. If your file sits with GDRFA Dubai, the visa side of the update runs through GDRFA’s channels instead, while the Emirates ID side stays with ICP because the card is federal.

The practical discipline for an employer is to treat a renewed passport as a compliance event, not an administrative one. Add it to the same monthly tracker that carries visa and Emirates ID expiry dates, because it is the one change an employee will genuinely forget to mention and the thirty-day clock starts whether anyone noticed or not.

ICP smart services is one of those systems a business touches constantly and thinks about never — until an expiry slips. The fix is not mastering the portal; it is owning the calendar around it.
